1. Who we are

ManualFlow is operated by Ambient Media 360 Ltd, Compass House, Chivers Way, Histon, Cambridge, CB24 9AD. You can contact us at studio@ambient.media.

2. What we store

When you use ManualFlow, we store the information you enter and upload so you can generate and manage your O&M manuals. This includes:

• Company branding details (name, logo, colours, contact information, standard warranty and aftercare wording)
• Project details (client name, site address, project reference, completion date, end-user details, and a brief of the works)
• Materials and product information you enter
• Uploaded supporting documents (data sheets, drawings, certificates, warranties)
• Generated O&M section content and issued revision history
• Your account email address

3. Who can see your data

Your projects and uploaded documents are visible only to your account. No other ManualFlow user can see your data. Sharing is deliberate — when you email a manual to a client, it is sent only to the recipient you specify, and supporting documents are shared via time-limited secure links that you control.

4. How your data is used

We use your data solely to provide the ManualFlow service — generating O&M manuals from the details and documents you provide. AI-assisted drafting uses your project brief, materials list, and company wording. Uploaded documents are stored and included in your manual but are not read or analysed by the AI.

We do not sell your data or share it with third parties for marketing purposes.

5. Data retention

Your data is kept for as long as your subscription is active. If you cancel your subscription, you retain access until the end of your current billing period. After that, you can re-subscribe at any time to regain access to your existing projects. If you wish to permanently delete your data, contact us at studio@ambient.media.

6. Payment processing

Subscription payments are processed by our payment provider (Base44 Payments). We do not store your card details — these are handled securely by the payment provider.

7. Your rights

You can access, correct, or request deletion of your personal data at any time by contacting studio@ambient.media. You can also cancel your subscription at any time from your account settings.
